How can we help?

From initial inventory to a graphical network topology, these guides explain the essential OTTRORA workflows.

01

Getting started

Use the personal portal address from the activation email, choose your password and complete multi-factor authentication. A practical setup order is sites, networks, devices, software and subscriptions. The dashboard then shows usage, documentation quality and items that need attention.

02

Sites and customer scope

An OTTRORA account represents one organisation. Records can be assigned to sites and, on the MSP plan, to separate end customers. Site and customer filters consistently limit the records shown in devices, networks, topology, IPAM, software and documentation.

03

Devices and custom views

Record a unique device name and optionally type, manufacturer, model, serial number, inventory tag, IP address, MAC address and warranty. Available access methods such as HTTPS, HTTP, SSH, RDP or VNC can be documented without storing credentials. For HTTP and HTTPS, a validated management address can be opened or copied from the device table and detail view; when left empty, OTTRORA derives it from the device IP. A primary user is stored as name information directly on the device; OTTRORA does not claim to provide a central employee directory. Configurable plans allow users to choose, order and hide standard or custom table columns.

04

Networks and IPAM

Document IPv4 and IPv6 networks with subnet, gateway, VLAN, DNS and DHCP information. IPAM distinguishes known assignments, reservations and exclusions. Existing devices can be assigned to available or reserved addresses, while duplicate or out-of-range assignments are rejected.

05

Graphical network topology (Beta)

Select a documented switch and import its complete MAC address table. Multi-page terminal output can be added page by page and reviewed before it is applied. OTTRORA matches known MAC addresses to devices and infers suspected uplinks from documented switch MACs, MAC density across VLANs and strongly matching address sets between switch tables. Automatic links remain suspected until manually confirmed because MAC learning does not always prove the physical cable path. Hover over or select a switch port to inspect its connected devices. The current diagram and port table can be exported as a landscape PDF. Automatic discovery, a local agent and API synchronisation are not part of this Beta.

06

Software and subscriptions

Record software versions and licensing notes as well as recurring services, renewal dates, notice periods, billing cycles and costs. Upcoming renewals remain visible without a separate spreadsheet. Access to sensitive licensing information should be limited to authorised users.

07

Documentation governance

Responsibilities, criticality, review intervals, reminders, relationships, external knowledge links and checklists help teams keep records useful. Owners and administrators can define additional text, number, date, yes/no and URL fields for supported record types. When encryption is enabled, configured sensitive values are encrypted by the application before storage.

08

Search, archive and activity logs

Global search covers devices, IP addresses, sites, software and subscriptions. Records are normally archived before removal and can be restored where supported. Activity logs show the responsible user, time and affected area; network-topology changes are also retained in the switch and port history.

09

Import, export and reporting

Business and MSP plans can import CSV data through reviewable column mapping and a change preview. Reporting includes device, label and IP address output as well as configurable report blocks and print profiles. Exports and configurable reporting depend on the selected plan and sensitive exports require confirmation.

10

Users and security

Owners and administrators manage access and roles. New users choose their password through a time-limited activation link and configure MFA. Authenticator codes and registered passkeys or security keys are supported. MSP, customer and end-customer users can request a time-limited password-reset link. Optional IP restrictions and configurable inactivity timeouts add further controls.

Use the public password generator to create character passwords or English and German passphrases locally in your browser.

11

Plans and limits

Starter remains free within its limits. Basic is intended for small internal environments, Business adds higher limits, reporting and exports, and MSP adds separated customer environments. The dashboard shows current usage; valid prices, VAT information and limits are maintained on the public pricing page.

12

Help and feedback

If imported topology entries remain unknown, verify that the device MAC address is stored in the same customer scope and import the table again. Suspected uplinks should be checked and confirmed manually. Bugs and feature requests can be submitted through the Feedback area, where their current status remains visible.
